Vendors

Everyone who sends Zeus data, and the evidence that they still do. Vendor accounts and API keys are set up in the Configurator; this screen is who sent what, and when.

SFTP vendors

Vendors who push files to the drop server. Each one gets its own locked-down login and its own folder, and this card shows the evidence per vendor: when they last sent, and what Zeus said about the file. Give the vendor's email and Zeus does the rest: the login is created automatically and the vendor gets two separate emails — delivery details, then the password. Leave the email blank to set the login up by hand instead (the command appears after you add the name).

Feed activity

Every other source — email, VinCue, recon sheet, manual uploads — grouped the same way: click a row for that feed's recent deliveries, with Zeus's answer verbatim. Drop-server vendors are listed above with their own history. A feed that quietly stops arriving looks like a quiet week from inside any one card; it does not from here.

VinCue

Each automatic pull replaces the lot with what VinCue currently lists, so a car that sold drops off on its own. With this off, inventory only changes when somebody presses ⚡ Sync — and cars that have sold keep showing in Deal Finder until they do.

Set “which vehicles” whenever a second source feeds this store. A sync set to the whole lot deletes everything the other source brought in — and nothing warns you, because the feed itself is a perfectly normal size. It just covers the other half of the lot. While vAuto sends used cars and VinCue keeps the new ones fresh, this should be New cars only.

Inventory by email

If your inventory vendor emails a scheduled export instead of offering a feed, Zeus can collect it from its own mailbox — no server, nothing to install. Put the exact address the export arrives from. More than one vendor can send to the same mailbox — separate the addresses with a comma and Zeus works out what each file is by opening it.

Set Used cars only if the vendor sends new and used in separate files. Without it Zeus compares a used-car export against the whole lot, decides the feed came in short, and refuses it — which is the guard doing its job on a file that was never wrong. “Whatever the file says” only works when the export carries a New/Used column.

Zeus only takes a file from that exact address, and only when Microsoft confirms the message really came from it — anyone can put an address in a From line, and the attachment replaces your lot.

Listing copy written by AI

Zeus can write each vehicle’s description from its own equipment instead of using the standard one. It writes from the equipment list only, and checks its own work before showing it — anything it cannot source from the car is thrown away and the standard description is used instead. Key from console.anthropic.com.

Writes a description for every retail car that needs one. Cars whose description is already current are skipped free, wholesale and sold units are left out, and the run stops at the monthly cap. Takes a while on a full lot — the line above keeps count, and you can leave the page.

Customers sent in

Two ways in. Have the system your store already uses email them to the same mailbox Zeus watches for inventory, or upload the file by hand. Zeus never puts two people together — if somebody is already on file, the new one comes in as their own card, and you decide. Nothing is read until you switch it on, and the address below is trusted for customers only: it can never replace your inventory.

vAuto

Saved for when the vAuto connection is built. Nothing reads from vAuto yet — use the inventory upload in the meantime.

Photos

Images from the photo vendor, matched onto the lot by VIN. The vAuto export carries a photo count and no address, so the pictures come from here. Three ways in and they all end up the same place: paste a link below, have the vendor email the file to the inbox Zeus already watches, or upload it by hand. It only ever adds pictures to cars you already have.

CARFAX

Vehicle history straight from CARFAX, instead of the four Yes/blank columns the inventory feed carries. Nothing reads from CARFAX yet — these are stored ready for the connection, and what Zeus needs from them is written down in docs/carfax-integration-request.md.

Recon sheet

The used-car service drive’s Google Sheet, matched onto the lot by stock number — or by VIN if the sheet doesn’t carry stock numbers. In the Sheet: File → Share → Publish to web, pick the recon tab by name, choose Comma-separated values (.csv), and paste the link it gives you. The sheet’s normal link works too if it’s shared with anyone who has the link.

Inventory data

How this dealership's vehicles get into Zeus. Pull them from VinCue, or upload an export from vAuto or your DMS — column headings are matched automatically.

Photos come from VinCue — the vAuto export carries a photo count and no image address. This attaches them to the cars you already have, matched by VIN. It adds no vehicles and removes none.

Decoding every VIN lets the Deal Finder search by equipment — "sunroof", "tow package". Each new VIN is one paid decode; ones already decoded are free.

Monthly Incentives — sets lease rebates / cash

Upload the MWBC incentive summary workbook (.xlsx) each month. The newest "Month YYYY" tab's lease-cash columns become the per-trim lease rebates (cash) that auto-apply to every lease quote. This is the file that controls lease rebates — separate from the Lease Rate Sheet below.

Reading email needs an app registration in Microsoft Entra, not a mailbox password — Microsoft removed password logins for reading mail. Paste the three values from the portal here.

Checking…

Paste the secret Value, not the Secret ID. Run scope-mail-app.ps1 before using this — without it the app can read every mailbox in the company, not just this one. Role changes can take an hour to apply.

Deleted mail

Mail you delete goes to Deleted Items. After this many days Zeus empties it — it leaves the mailbox but Microsoft keeps it recoverable by an admin for a while after that.

Customer cards

Zeus keeps a customer's card this many days after the last thing that happened on it. Then the card and everything Zeus wrote on it go — the deals stay, with the name Zeus put on them taken off. Two years is the longest a store is allowed to keep it, so this number only goes down; 30 days is as short as Zeus takes it.

Run now is what makes the number above stick: it saves it, clears every card already past it, and then says the number Zeus ran at. Zeus also does the clean-up on its own in the background. A problem somebody reported that long ago goes with the cards — a report quotes a chat that can name the customer, so it cannot outlive the cards. Who looked at a card is kept two years whatever happens to the card.

Download a full snapshot of all data (inventory, saved deals, users, settings) as a single file. The app also keeps rotating daily snapshots on the server. Download one off-site regularly so a disk loss can't wipe everything.

OK to contact

Tick it only after you ask her. An OK is for the number or the address it was given for — change either one and ask again. Zeus doesn't send anything; you send it from your own phone or from the system your store already uses.

History

Who looked

Every time this card was opened, and who opened it. Zeus keeps this two years and keeps it after the card is removed — it is how the store can say who saw someone.

Remove

Takes the card and every line Zeus wrote on it. Any deal tab with this card loses it, and the Ask Zeus chat on that tab starts over — the whole chat, not just the lines about them, so nothing Zeus already said is left on screen to be read back. The deals, the sales and any trade Zeus appraised stay: Zeus takes the name off them, but a deal title somebody typed the name into keeps it until somebody renames it. Who looked at this card stays on file for two years. What she said OK or stop to stays on file too, against the number itself and with no name on it — that is how a stop keeps working after the card is gone. The backups on this machine still have them for 15 nightly copies and 14 snapshots.
